— About ClientFit

We built the back office therapists actually wanted.

ClientFit has spent nearly two decades doing one thing: making sure behavioral health practices get paid, stay credentialed, and grow — without burning out the clinicians or their teams. We’re a small specialist firm by design. We’d rather be the best people in the country at one specialty than mediocre at five.

— 01 / Our Mission

Give clinicians their time back.

Behavioral health practices exist to help people through the hardest moments of their lives. That work shouldn’t come with the cost of becoming a part-time biller, a part-time credentialing coordinator, and a part-time marketing manager — and yet for most clinicians, it does.

Our mission is to take all of that off your plate, do it better than you could do it yourself, and give you back the hours and headspace to focus on the work only you can do.

— 02 / Our Vision

A practice runs itself — quietly, in the background.

We believe a well-run behavioral health practice should feel almost boring on the operations side. Claims go out, money comes in, panels stay current, new patients keep arriving. No drama, no surprises, no Sunday nights spent fighting with a clearinghouse portal.

When the back office is invisible, the clinical work gets the attention it deserves — and that’s when practices grow, retain great clinicians, and last.

— 03 / What We Believe

Five things we won’t compromise on.

i

Specialists, not generalists.

100% of what we do is behavioral health. Not general medical, not dental, not multi-specialty. Session-based billing rules, authorization quirks, BH carve-outs like Carelon and Magellan, HIPAA-compliant patient acquisition — the parts that generalists fumble are the parts we know cold. Being narrow is the entire point.

ii

Transparency, not theater.

No black-box reporting. You see what was billed, what was collected, what got denied and why, where each credentialing application stands, what marketing brought in. In plain English, every month. If we ever can’t explain a number, we shouldn’t be charging you for it.

iii

Aligned incentives, real ones.

Billing is collections-based, so we only get paid when you do. Credentialing is a flat fee per panel — no per-call upcharges, no surprise add-ons. Marketing is scoped to clear deliverables. We don’t make money when you don’t. The business model is the accountability mechanism.

iv

You own everything.

Your credentialing is under your practice, your contracts, your NPI. Your billing data lives in your EHR. Your patient relationships are yours. If you ever leave us, you keep the panels, the data, the relationships, and the leverage. We never hold anything hostage as a retention play.

v

A real human picks up the phone.

You get a dedicated account manager who knows your practice. Not a ticketing queue, not a different person every time you call, not a chatbot triaging your concerns. Behavioral health work is relational. So is ours.

— 04 / The Work

What we’ve been quietly doing all this time.

— Billing & RCM

End-to-end revenue cycle management for behavioral health practices. Daily claim submission, denial appeals within seven days, patient billing handled tactfully, transparent monthly reporting. Done through your existing EHR — SimplePractice, TherapyNotes, Tebra, and most others — so your data stays yours.

— Credentialing

Flat-fee credentialing across commercial, Medicaid, and Medicare panels. CAQH setup, applications, weekly follow-ups, contract review, re-credentialing tracked before deadlines slip. Average approval time around 27 days versus a 90-day industry standard.

— Practice Marketing

HIPAA-compliant practice growth: Google Business Profile management, directory listings (Psychology Today, TherapyDen, GoodTherapy, more), ethical review generation, and targeted patient acquisition campaigns built specifically for behavioral health.
